Phase I - Application

Step 1 Find partners and work out network activities including the
exchange actions you have in mind

Step 2

Define coordinator - Each network needs a coordinating
institution. All other institutions in your application will then be
designated as partner institutions.
The obligations of the network coordimator are:

  • submitting the actual application form with all necessary
    documentation
  • data flow within the network
  • coordination of network activities
  • signing of a "letter of acceptance" after your application
    will have been approved.
  • reporting unused quotas to the NCO
  • submitting of reports.

(Please note that CEEPUS does not cover overhead costs.)

 
Step 4 Network documentation: coordinator and partners obtain Letters
of Endorsement (by the Rector) and Letter of Intent (by the
authority in charge of recognition).

Networks - Additional Rules



Networks - Partner Changes

Basically, CEEPUS is a flexible program, however:

  • such networks have to present their NCO with a convincing explanation for their request
  • NCO then contacts national expert(s)
  • NCO informs CCO
  • NCO informs "changelings" of the outcome
  • IMPORTANT: If need be the necessary documentation (Letters of Endorsement, Intent, housing contact) has to be adapted!!!

Re: Network Documentation:

  • any network that has been (is) prolonged is not required to present new Letters of Endorsement.
  • However: Letters of Intent are a different matter and should be presented again.


Summerschools

in addition to the requirements laid down in the annex of the CEEPUS Agreement, CEEPUS Summerschools must offer at least 60 hours of instruction and last not shorter than 10 days.

Intensive Courses

for young (university) teaching staff: in addition to the requirements laid down in the annex of the CEEPUS Agreement, these courses must offer at least 60 teaching hours. NOTE: in this case, the Agreement specifies a minimum duration of 14 days= two weeks!

Step 2

After being handed in to your National CEEPUS Office, your
application must be accepted in three steps:

  • professional OK by the local network coordinator or partner
  • technical OK by the NCO in your home country
  • financial OK by the NCO in the host country

Step 4 Acceptance of scholarship (to be sent to the host country).  
Step 5 Preparation of stay (this includes very necessary documents
like visas and other documents that must be prepared in
advance, e.g. insurance papers).
 



Phase II - Realisation - Host country

Step 1 Studying abroad: the NCO in the host country or another insitution designated for this task will help you find your way in your new environment - finding accommodation, finding the university, insurance, where to pick up your scholarship payments, etc.
Step 2 Before you leave, you must have your local CEEPUS network
contact sign your Letter of Confirmation!
Special notice: Make sure that you stick to the rules specifiying the minimum stay in your host country: if you are staying for 1 month: 21 days if you are staying for more than 1 month, you have to spend at least 16 days in your host country - otherwise you will have to pay back your grant!



Phase III - Return - Home country

Mobility - Special Rules



Interruptions of your period of study abroad are only permitted if:

  • there is a local holiday in your host country (e.g. Christmas, Easter)
  • you have to pass an exam for the last, not the current term at your home institution (or there is some other urgent business related to your studies). In this case, you need the written permission of your network coordinator/partner at your host institution (i.e. the same person that signs your Letter of Confirmation).
  • In any case, travel allowances - where applicable - will only be paid once.


Additional Rule concerning multiple stays in the same CEEPUS country: only valid for networks

Basically, no CEEPUS country may be visited twice. Exception:

1.Teacher Mobility

  • if multiple stays are necessary for the functioning of the network. CEEPUS reserves the right to conduct random checks.

2. Students, Graduates, Postgraduates

Within the framework of a CEEPUS network only, students, graduates and postgraduates may apply for a second stay in a given CEEPUS, provided that:

  • they apply for a second stay within the same CEEPUS network
  • together with the mobility application form they submit:
    letter of recommendation for a second stay in the given CEEPUS country by their network coordinator/partner of the INCOMING institution (possibly by fax)
    letter of recommendation for a second stay in the given CEEPUS country by their network coordinator/partner of the HOME institution (possibly by fax)
  • both stays together do not exceed 12 months (cf. CEEPUS Agreement)
  • OK by CCO is obtained via the respective NCO

For the time being, more than two stays cannot be permitted!


Student Mobility: Age Limit

Age limit for students incl. postdocs: 35 years.
